Booking Terms & Conditions

These are the terms that apply when you book a villa with Cyprus Villa Retreats. They cover the whole journey: booking and paying, changing or cancelling, the damage deposit, arrival and departure, and what we each take responsibility for.
The short version
- Pay a deposit to secure the Villa; the balance is due 90 days before you arrive.
- Pay by bank transfer or card. Taxes are included in the price you are shown.
- Cancellation terms vary by villa and are shown before you book; cancel by email.
- A refundable damage deposit applies to most villas; look after the place and you get it all back.
- No smoking indoors, no pets unless agreed in advance, no parties or events without our written consent, and only the guests on the booking may stay.
- If anything is wrong, tell us straight away during your stay via the guest chat, phone or email. We then have 24 working hours to put it right.
- Problems raised for the first time after checkout, or that we were not given the chance to fix, are not eligible for refunds or compensation.

About these terms
These Booking Terms and Conditions (these Terms) apply when you book holiday accommodation through Cyprus Villa Retreats, the trading name of Tripingo LTD (the Company, "we", "our" and "us"), a company registered in Cyprus.

In these Terms:
- the Guest means the person who makes the booking (the lead guest) and every member of their party
- the Villa means the accommodation booked, including its grounds, pool and contents
- the booking confirmation means the confirmation email and invoice we send once a booking is made
Booking conditions can vary by villa. The specific conditions for your chosen Villa, including its cancellation policy and damage deposit, are shown during checkout and on your booking confirmation. Where they differ from these Terms, the villa-specific conditions apply.
Making a booking
- The lead guest must be at least 18 years old and is responsible for the booking and for everyone in their party complying with these Terms.
- All information provided when booking must be accurate and complete, including the number of guests in the party.
- Some villas can be booked instantly online. Others are offered on a request basis: you submit a booking request, no payment is taken at that stage, and our reservations team confirms the booking and sends payment details.
- A binding contract between the Guest and the Company is formed when we issue the booking confirmation.
- If you or anyone in your party has a medical condition, disability or reduced mobility with specific requirements, you must contact us before you confirm your booking so we can check the Villa is suitable.
Paying for your stay
Deposit and balance
- A deposit is payable to secure your booking. The deposit amount is set per villa and shown at checkout; it typically varies between 20% and 30% of the booking value.
- The remaining balance is due 90 days before your arrival date.
- Bookings made inside the balance window are payable in full at the time of booking.
- If the balance is not paid by its due date, we may treat the booking as cancelled by the Guest and apply the applicable cancellation policy.
Payment methods
- We accept credit and debit card payments and bank transfers. Upon booking you will receive your invoice in Sterling (GBP) along with our bank details, or you can request a secure payment link to pay by card in Euros.
- Bank transfer bookings must be paid within the period stated on the booking confirmation, otherwise the booking is released.
Pricing, taxes and fees
- The price of your stay is the price confirmed at the time of booking and shown on your booking confirmation.
- All taxes are included on your booking confirmation invoice.
- A booking fee of a flat 3.5% applies to card payments, which goes directly to the payment merchant. No fee is charged on bookings paid by bank transfer.
- Most villas do not charge a cleaning fee; where one applies, it is specified in the booking details before you confirm.
- Optional extras (for example pool heating) are priced separately and shown before you book.
Changes to your booking
- If you would like to change your booking after it is confirmed, contact our reservations team at [email protected]. Changes are subject to availability.
- Adding guests after booking is subject to the Villa's maximum occupancy and may incur extra guest charges.
- Date changes are subject to availability and any difference in price between the original and new dates.
Cancellations and refunds
- Cancellation policies vary by villa. The policy that applies to your booking is shown before you book and on your booking confirmation; refunds depend on that policy.
- Cancellation requests must be sent by email to [email protected]. A cancellation takes effect on the day we receive it.
- No refund is given for a no-show, late arrival or early departure, unless the applicable cancellation policy says otherwise.
- In the rare event that the Company has to cancel your booking, for example because the Villa becomes unavailable, we will offer you a comparable alternative villa where possible, or a full refund of everything you have paid for the booking.
- We strongly recommend that the Guest takes out travel insurance covering cancellation, curtailment and personal liability for the whole party.
Damage deposit
- A refundable security deposit (the damage deposit) is required for most villas. The amount is shown in the booking conditions for your chosen Villa before you book.
- If a small item, like a glass, is broken, it is up to the owner to decide whether to deduct the cost from the deposit. If a larger item, such as a sofa, is damaged due to misuse, you may forfeit your entire deposit.
- The deposit is released after departure, subject to the Villa being left in a reasonable state and no damage beyond normal wear and tear.
- Where damage exceeds the deposit, the Guest remains liable for the excess.
Arrival and departure
- Check-in and check-out times are shown on your booking confirmation.
- Early check-in or late check-out may be possible upon request, subject to the Villa's changeover schedule. Contact us with your specific needs before arrival.
- Directions and access details for the Villa are provided before arrival, once the booking is paid in line with these Terms.
- On departure, the Guest must leave the Villa secure, reasonably clean and tidy, with all keys and access devices returned as instructed.
House rules
- Occupancy is strictly limited to the booked party. Only the guests named on the booking may stay at or use the Villa, and the number of people staying must not exceed the Villa's stated maximum occupancy. Allowing unauthorised guests to stay is a material breach of these Terms.
- Smoking is not permitted inside the Villa, though smoking outside is fine. Smoking policies may vary by property, so please check the specific rules for your Villa.
- Pets, even very well behaved ones, are not permitted unless by prior agreement with us. Please contact us before booking if you wish to bring a pet.
- Parties and events are not permitted without our prior written consent.
- The Guest must show consideration to neighbours, particularly regarding noise at night.
- Whilst we try hard to ensure a stable internet connection at all our villas, this cannot be guaranteed, particularly in very remote areas, and speeds vary.
- Villas are equipped with smoke detectors, fire extinguishers and first aid kits. Please familiarise yourself with them on arrival.
Your responsibilities
- The Guest must take good care of the Villa and its contents throughout the stay and report any damage, breakage or fault to us promptly so it can be put right.
- The Guest is responsible for any loss or damage to the Villa caused by any member of their party, beyond normal wear and tear.
- Children must be supervised at all times, particularly around pools, balconies and unfamiliar surroundings. Pools are unsupervised and used at the Guest's own risk.
- The Guest must allow access to the Villa at reasonable times, on reasonable notice, for essential maintenance or repairs.
- We may terminate the stay without refund in the event of a material breach of these Terms or the house rules, illegal activity at the Villa, or behaviour that endangers the property, our staff or neighbours.
Our liability to you
- Nothing in these Terms excludes or limits the Company's liability where it would be unlawful to do so, including for death or personal injury caused by our negligence.
- The Company is not liable for loss of or damage to the Guest's personal belongings, vehicles or valuables during the stay, except where caused by our negligence.
- Villa descriptions, photographs and amenity lists are provided in good faith and kept as accurate as possible; minor differences can occur as owners update and maintain their properties.
- The Company is not liable for matters outside our reasonable control, including temporary interruption of utilities or services (such as water, electricity or internet) caused by the supplying providers, noise or disturbance originating beyond the boundaries of the Villa, neighbouring construction, municipal works, weather and sea conditions, and insects and wildlife. We will always do our best to resolve issues quickly. See "If something goes wrong" for how remedies are assessed.
- Where the Company is liable, our total liability in connection with a booking is limited to the total amount paid for that booking, except where the law does not allow such a limit.
If something goes wrong
Reporting a problem
- If anything at the Villa is not right, the Guest must report it to us, or to our local representative, without delay and during the stay. You can reach us through the guest chat, by phone or by email. In our experience almost everything can be resolved quickly on the spot.

- Once a problem is reported, we have 24 working hours to investigate and remedy it. The Guest must give us, our local representative and any contractor we appoint reasonable access to the Villa to do so.
- Matters first raised after checkout, or that we were not given a genuine chance to remedy during the stay, are not eligible for refunds or compensation.
Remedies and claims
- Where something is genuinely wrong, any remedy will be proportionate to the actual impairment of the stay: the part of the stay affected and the degree to which it was affected, not the holiday as a whole.
- We may ask for written or photographic evidence in support of a claim before agreeing any remedy.
- We accept no liability for matters outside our reasonable control, including weather and sea conditions, insects and wildlife, construction or noise from neighbouring properties, interruptions to utilities or internet caused by the supplying providers, and municipal works.
- Claims that are abusive, exaggerated or fraudulent may be refused in full and, where appropriate, reported to the relevant authorities.
Chargebacks
- By booking, the Guest agrees that any dispute about a stay or a payment is handled under these Terms first, before any card chargeback or payment dispute is raised. Unjustified chargebacks will be contested with the full booking record, including the Guest's recorded acceptance of these Terms.
Events beyond our control
Neither the Guest nor the Company is liable for failure to perform obligations under these Terms caused by events beyond reasonable control, such as natural disaster, extreme weather, fire, flood, epidemic, government action, war or civil unrest. If such an event prevents the stay from going ahead, we will offer the Guest an alternative villa or dates where possible, or a refund of amounts paid for the affected booking.
Governing law
These Terms, and any dispute arising from or in relation to them or any booking, whether contractual or non-contractual, are governed by and construed in accordance with English law, and the courts of England and Wales have exclusive jurisdiction.
If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions continue in full force and effect.
